Know what works

How to track which marketing brings useful inquiries

Start with one record for each new sales inquiry, including where it came from and what happened next. Review qualified inquiries, appointments, and won work alongside your marketing costs. Website analytics can help explain the path, but your business records confirm whether someone became a customer.

Agree on four stages before counting

Use definitions that everyone answering calls and messages can apply. For a service business, these are a useful starting point.

Write down your qualification rules and what “won” means. Keep them consistent. If your business sells without an appointment, skip the booked stage.

Exclude spam and test submissions. Add follow-up contacts about the same opportunity to its existing record. Count a new buying request separately, even if the person is already a customer.

Keep one row per buying request

Copy this tab-separated template into cell A1 of a private spreadsheet. The three rows are fictional examples; delete them before use. Keep stage dates so a won request still counts among the inquiries and qualified requests that produced it.

Assign someone to update the log after each contact. Use the inquiry ID to find the customer in your normal customer records. Keep personal details there rather than copying them into a report shared more widely.

Record how you know the source. “Customer report” and “tagged form” are different evidence. Ask “How did you first hear about us?” and keep “Unknown” when you cannot tell. Do not turn a guess into a measured result.

Cleaning serviceCount recurring business consistently

A cleaning service wins a recurring customer, then counts every later appointment as another new customer from the original ad.

Start here
Keep one record for the original buying request and define when the recurring agreement is won. Track later visits and revenue separately. Log a genuinely new service request as a new opportunity.
Keep a person involved
The owner decides how to handle cancellations, pauses, and changes in scope so reports follow the same rules each month.
Check the result
Trace one recurring customer from first inquiry through later visits. The new-customer total should count the original sale once.
Fitness studioFollow trial interest through to a paid membership

A fitness studio receives trial-class inquiries, but its report treats every booked trial as a membership sale.

Start here
Record the inquiry source and separate dates for the trial booking, attendance, and membership payment. Keep cancellations and no-shows visible.
Keep a person involved
Staff confirm attendance and payment before changing those stages. A coach can note the next agreed follow-up without adding health details to the marketing report.
Check the result
Follow one group of inquiries from one month through each stage. Compare sources by paid memberships as well as trials; count later renewals separately from new members.
Bookkeeping firmKeep a consultation separate from a signed engagement

A bookkeeping firm books consultations from referrals and ads, but prospects take weeks to agree on scope and sign.

Start here
Record the source and dates for consultation booked, consultation attended, and engagement signed. Group inquiries by their month and source, even when the agreement arrives later.
Keep a person involved
The owner checks service fit and capacity, updates the next action, and records why a proposal is declined.
Check the result
Compare sources after allowing for the decision time. Keep open proposals visible; a booked call is not won work, and an unanswered proposal is not yet lost.

Label campaign links and record the source

UTM parameters are labels added to a link so analytics can recognize a campaign. Google documents source, medium, and campaign parameters and shows their values in the Traffic acquisition report.

For an email promoting a fall service, use a link such as https://example.com/service/?utm_source=newsletter&utm_medium=email&utm_campaign=fall-service. Keep names and capitalization consistent. These labels describe the promotion, not the individual recipient.

A tagged visit does not automatically add its source to your inquiry log. Ask whoever maintains the form to save the campaign source with an accepted inquiry. Check the setup before relying on it. For Google Ads linked to Analytics, review the existing auto-tagging setup before changing tracking links.

Count an accepted form, then test the count

A submit-button click can happen while required fields are empty. A phone-link click does not prove a call connected. Keep those actions separate from received inquiries.

Google Analytics offers automatic form-interaction events. Verify how they behave on your form before treating them as leads. Have your website provider send the inquiry event only after the form system accepts the request. Mark that verified event as a key event, Google’s term for an important measured action.

Illustrative results using our published monthly advertising fee

A campaign produces 20 real inquiries during September. By the review date, 12 qualify, eight of those book appointments, and four of those become customers.

  • Qualified share: 12 ÷ 20 = 60%.
  • Booking rate among qualified inquiries: 8 ÷ 12 ≈ 66.7%.
  • Win rate among booked inquiries: 4 ÷ 8 = 50%.
  • Win rate among all inquiries: 4 ÷ 20 = 20%.

With an assumed $600 in ad spend, cost per qualified inquiry is $600 ÷ 12 = $50. Add our $400 monthly campaign management fee for one platform, and the ongoing cost is $1,000 ÷ 12 ≈ $83.33.

This ongoing comparison excludes the separate $500 setup fee. Including setup in the first month would make it $1,500 ÷ 12 = $125. Website work, creative production, or other separately quoted services would add to the cost. The inquiry counts are fictional, not expected results.

Follow the September inquiries through later outcomes. Dividing this month’s sales by this month’s new inquiries mixes groups when sales take time. Note unresolved requests and allow for your usual sales cycle before comparing periods.

Use the log to choose the next improvement

Each week, check missing sources, overdue replies, and reasons requests do not qualify. Lots of unsuitable requests suggest reviewing your offer and audience. Qualified requests that stall suggest checking response times, availability, or the next step you ask people to take.

Attribution means assigning credit for an outcome. Different attribution models assign credit differently. Someone may hear about you from a friend, see an ad, then search your name. Customer memory, blocked tracking, and missing records leave gaps. Do not add platform totals together as though each represents a different customer.

Use repeated patterns to guide changes. A handful of inquiries can reveal a broken form or missed replies; it cannot establish a reliable long-term return.
